Artisam Labs ("we", "us", "our") operates Back2You, a lost-and-found platform for schools and institutions, comprising the Back2You application and this website. We are committed to protecting your privacy. This policy explains what information we collect, how we use it, and the choices you have. It applies to your use of the Back2You website and application ("Services").
1. Information We Collect
- Account information — name, email address, and institution details you provide when creating an account or submitting a report.
- Lost & found reports — descriptions, photos, locations, and dates of items you report as lost or found, and claim details you submit.
- Tracker registrations — item details and identifiers you register (e.g., QR tracker codes).
- Usage data — pages visited, features used, device and browser information, IP address, and approximate location, collected automatically.
- Cookies — small files stored on your device (see the Cookies section below).
2. How We Use Your Information
- To operate the Services: matching lost reports with found items, processing claims, and arranging item collection.
- To notify you about likely matches and the status of your reports and claims.
- To provide customer support and respond to your inquiries.
- To improve, maintain, and secure the Services, including fraud and abuse prevention.
- To send service communications; marketing messages are only sent with your consent and can be opted out of at any time.
3. Photos of Found Items
Protecting property is central to Back2You. Photos of found items are displayed blurred to the public and are only shown unblurred to authorized institution staff, or after a claim has been verified in person. We enforce this server-side, not merely as a visual effect.
4. Sharing Your Information
We do not sell your personal information. We may share information with:
- Your institution — staff at the school or organization operating your Back2You instance can view reports, claims, and related contact details needed to return items.
- Service providers — third-party vendors (e.g., hosting, email delivery, analytics) bound by confidentiality obligations and only as needed to operate the Services.
- Legal authorities — when required by law, regulation, or valid legal process, or to protect the rights, safety, and property of our users or the public.
5. Data Retention
We keep personal information only as long as needed for the purposes described above. Item and claim records are retained according to the operating institution's policy (typically up to two years) for accountability and dispute resolution, after which they are deleted or anonymized.
6. Data Security
We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit and role-based access controls. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
7. Cookies
We use the following types of cookies:
- Essential cookies — required for the site and app to function (e.g., sign-in sessions, your cookie preferences).
- Analytics cookies — help us understand how the Services are used so we can improve them. These are only set if you accept them.

Back2You is used by educational institutions. Where students under the age of majority use the Services, the institution is responsible for obtaining any required consents from parents or guardians. We collect only the information needed to operate the lost-and-found service.

The Services may contain links to external websites we do not operate. We are not responsible for the content or privacy practices of those sites and encourage you to review their policies.

We may update this policy from time to time. Updates will be posted on this page with a revised "Last updated" date. Continued use of the Services after changes take effect constitutes acceptance of the updated policy.
